Nepalese companies planning to participate in exhibitions, trade fairs, or promotional events in Hong Kong must carefully follow the official visa and immigration guidelines set by the Hong Kong Immigration Department. These rules ensure that foreign exhibitors operate within the legal boundaries of a visitor or exhibition entry permit, without engaging in activities that require employment authorization.

Under Hong Kong’s Permissible Activities for Visitors, exhibitors from Nepal are permitted to visit Hong Kong for promotional and marketing purposes — such as displaying products, attending business meetings, supervising booth setup, participating in trade negotiations, and signing commercial agreements. However, they cannot sell goods directly to the public, collect payments, or provide services to visitors during exhibitions. Such actions are treated as commercial transactions and fall outside the scope of a visitor visa. Engaging in these activities without the required visa constitutes a violation of Section 41 of the Immigration Ordinance (Cap. 115) and may result in penalties of up to HKD 50,000 and imprisonment for up to two years.

When applying for a Hong Kong exhibition visa, Nepali companies should prepare a comprehensive application package. This typically includes a valid passport, a completed Form ID 1003A and ID 1003B, the official invitation letter issued by the event organizer, proof of business registration in Nepal, company financial statements, and a travel itinerary. The invitation letter plays a crucial role—it must clearly state the event details, booth number, participation category, and organizer’s endorsement. For large-scale events organized by the Hong Kong Trade Development Council (HKTDC) or the Hong Kong Convention and Exhibition Centre (HKCEC), the invitation acts as proof of legitimate business intent and simplifies visa approval.

Applicants can submit their documents online through the Hong Kong Immigration e-Visa portal or via the Chinese Embassy in Kathmandu. It is advisable to apply at least 6–8 weeks before the exhibition date to allow sufficient processing time. Once approved, the visa is issued electronically and must be printed before departure. Exhibitors must also carry supporting documents such as hotel booking confirmations, return air tickets, and event registration proof while traveling.

If a Nepalese company’s participation involves technical setup, booth construction, or paid services, a standard visitor visa will not suffice. In such cases, the company must employ lawfully authorized contractors within Hong Kong or apply for a short-term employment visa (Form ID 990A) before arriving. These short-term permits are granted only for specific purposes and must be sponsored by a Hong Kong-registered company or exhibition organizer.
