China Business Visa Invitation Letter Format & Company Requirements

China Business Visa Invitation Letter Format & Company Requirements

For Nepali entrepreneurs applying for a China Business Visa (M-Visa), the invitation letter is the most crucial document in the entire visa process. In 2025, the Chinese Embassy in Kathmandu strictly requires a verified invitation letter issued by a registered Chinese company or government-authorized trade organization. Without this letter, no business visa will be processed. The letter serves as official proof that a legitimate Chinese entity is inviting the applicant for business purposes such as trade fairs, factory visits, partnership discussions, or product sourcing.

The China Business Visa invitation letter must be printed on the official company letterhead of the Chinese inviter. It should clearly state the company’s name, registration number, address, contact number, and official seal/stamp. The content must include the full name, nationality, date of birth, and passport number of the Nepali applicant, along with the purpose of the visit, dates of entry and exit, duration of stay, number of entries requested (single, double, or multiple), and the inviter’s designation and signature. A professional and complete letter demonstrates the authenticity of both parties and increases the chances of visa approval.

There are two main types of invitation letters accepted for business visas:

  1. Company Invitation Letter – issued directly by a registered Chinese enterprise, factory, or supplier.

  2. Trade Organization / Fair Invitation Letter – issued by a government-approved business body or trade fair organizer (e.g., Canton Fair, China Import and Export Exhibition).

In both cases, the invitation letter should include:

  • Official company name and full address

  • Applicant’s details: full name, nationality, passport number

  • Purpose of visit: business meeting, exhibition, trade partnership, factory inspection

  • Duration and schedule: arrival and departure dates, city of stay

  • Relationship between inviting and invited parties

  • Financial responsibility statement (who bears the travel expenses)

  • Official company seal (red stamp) and authorized signature

If the Nepali applicant is visiting multiple Chinese cities or companies, each company must issue its own invitation letter or a consolidated document listing all destinations. Letters written in Chinese must include an English translation to facilitate embassy verification. Additionally, the inviting company must be legally registered in China, holding a valid Business License (营业执照) with the company’s official registration number mentioned in the letter.
