Documents Required for Japan Business Visa from Nepal (2025 Update)

If you are a Nepali entrepreneur or businessperson planning to visit Japan for trade meetings, exhibitions, company visits, or investment exploration, you will need to apply for a Japan Business Visa (Short-Term Business Affairs)through VFS Global Japan Visa Centre, Kathmandu. The Embassy of Japan does not accept direct submissions, so all applicants must go through VFS. For 2025, the document checklist has been slightly updated, focusing on stronger financial proof and more detailed business invitations.

To begin, applicants must submit a completed Japan Visa Application Form, printed on A4 size and duly signed, along with a valid passport (with at least one blank page and more than six months’ validity). You must attach one recent color photo (45mm × 35mm) with a plain white background, taken within the last 6 months. Alongside this, provide a flight reservation showing your entry and exit dates and a tentative itinerary of your business activities in Japan, such as meetings or trade exhibitions.

Financial stability is a core requirement. You must include bank statements for the last 3–6 months, a bank balance certificate, and supporting income or tax documents issued by an official agency. This proves that you have sufficient funds to bear your travel, accommodation, and other expenses while in Japan. If your trip is sponsored by your company or a Japanese organization, include a letter of guarantee or mission letter that clearly mentions who is paying for your expenses and the purpose of your visit.

Business credentials are equally important. If you are an employee, you must submit an employment certificate or an official letter from your company specifying your position, salary, and purpose of travel. If you are a business owner, submit your company registration certificate, PAN/VAT certificate, tax clearance, and financial statements. These documents must be in English or officially translated. If applicable, provide a certified copy of your company incorporation certificate and a company profile or overview explaining your line of business.

From the Japanese side, your inviting company must issue an official invitation letter on company letterhead, stating the purpose of your visit, meeting schedule, duration, and the relationship between the two companies. If the Japanese company is covering your accommodation or travel cost, they should also submit a Letter of Guarantee, signed and stamped by an authorized person.

For applicants traveling as a group, you should prepare a list of all visa applicants with details of your organization, designations, and purpose of visit. Remember, all documents should be A4 size, clear, and organized without staples or paper clips. Documents in Nepali must be translated into English and notarized.

The standard processing time is 6 working days after submission to VFS Global. However, if additional verification is required, it may take 2–3 weeks. Always ensure your flight bookings and itinerary match and avoid dummy or incomplete documentation.
