How the China Visa Application Order Is Determined — Tips for Nepalis

Since June 25, 2025, the Chinese Embassy in Nepal has implemented a new digital visa submission system that determines the processing order of applications strictly based on the time of online submission, not on the applicant’s intended travel date. This new system was introduced to make visa processing more transparent and standardized. Under this system, once an applicant submits all required documents through the official portal (https://www.visaforchina.cn/KTM3_EN/qianzhengyewu) for preliminary review, the application automatically enters a digital queue maintained by the Embassy.
The Embassy has clarified that visa applications are reviewed in the exact order they are received online. This means that earlier submissions are processed first, and those who submit later — even if their flight date is sooner — will be placed behind earlier applicants. The Embassy no longer considers travel urgency during the standard review queue. Therefore, applicants who submit their forms late often face delays, as the Embassy strictly follows the online submission timestamp.
If the submitted documents are incomplete, unclear, or contain errors, the Embassy rejects them during the preliminary review phase. In such cases, the applicant must correct the documents and resubmit, which causes them to lose their original position in the queue and move to the end of the line. This rule has been introduced to encourage applicants to prepare all documents correctly the first time. For this reason, Nepali applicants are strongly advised to carefully review every document before submitting online — ensuring that the uploaded passport page, photo, itinerary, invitation letter, and other attachments are clear and accurate.
However, for travelers facing urgent travel situations such as medical treatment, official delegations, or emergencies, the Chinese Visa Application Service Center (CVASC) in Kathmandu allows priority review requests. Applicants can visit CVASC in person with an internet-connected laptop, valid passport, and all original documents. If the CVASC officers confirm that the online submission is error-free, the application can enter formal review on the same day, giving applicants a chance to shorten the waiting period from 4 working days to 1–2 days.
Applicants should also monitor their registered email address frequently after submission. The Embassy sends update notifications, correction requests, or approval confirmations via email. Ignoring such emails can lead to automatic delays or even cancellation. Therefore, responding promptly to any Embassy communication is critical. Submitting early in the morning on weekdays (Monday to Friday) is also beneficial because the Embassy reviews in the order received during office hours.
To optimize your chances of faster approval, Nepali applicants should submit their online forms at least two to three weeks before their planned travel date. Early submission ensures you secure an earlier place in the review order, minimizing risk from system rejections or national holidays that might disrupt Embassy operations.
