Japan Embassy Medical Visa Appointment Process – Kathmandu

Applying for a Japan Medical Visa from Nepal requires following a structured process through the Japan Visa Application Center (VFS Global) located in Kathmandu. The Embassy of Japan does not directly handle individual visa applications; instead, all submissions are processed via VFS, which acts as an official collection and coordination center.

Before booking an appointment, applicants must prepare all required documents — including the hospital invitation letter, doctor’s recommendation, medical treatment certificate, proof of financial capacity, valid passport, photographs, and travel itinerary. All medical certificates and hospital letters should be issued by authorized Japanese institutions registered under Japan’s Ministry of Health.

To book a medical visa appointment, visit the official VFS Japan Nepal portal: https://visa.vfsglobal.com/one-pager/Japan/Nepal/english/. On this site, choose “Schedule an Appointment”, select “Medical Stay Visa” as your visa category, and enter your personal and passport details. You’ll receive an appointment confirmation slip with a date and time for submission at the VFS Japan Visa Center, Kathmandu.

During your appointment day, applicants (or authorized representatives) must visit the VFS Japan Application Center, Kathmandu located at Chhaya Center, Thamel, with the printed application form, appointment slip, and complete set of documents. Biometric data collection is not required for Japan visas; however, original documents are verified and scanned.

The visa fee is approximately ¥3,000 (NPR 2,700) for a single entry, payable in Nepali Rupees, plus an additional VFS service charge of around NPR 1,000–2,000. Processing time is generally 10–14 working days, depending on verification from the Japanese Embassy. Applicants may also be contacted for further medical or financial clarifications.

Once approved, the passport can be collected in person or through courier delivery arranged by VFS. The embassy may issue either a single-entry or multiple-entry medical visa based on the hospital’s recommendation and treatment duration.
