For Nepali students who dream of studying in Japan, obtaining a Japan Student Visa is the key step toward achieving that goal. This visa allows foreign nationals to stay in Japan for long-term study in recognized institutions such as Japanese language schools, universities, vocational colleges, and graduate programs. The visa process is twofold — first, the student must secure a Certificate of Eligibility (COE) from Japan, and second, they must submit their visa application at the Embassy of Japan or VFS Japan Visa Application Centre in Kathmandu.

The process begins by applying for admission to an approved Japanese educational institution. Once accepted, the school or sponsor applies for the COE on the student’s behalf at Japan’s Immigration Services Agency. The COE confirms that the applicant meets all residency and academic requirements for entering Japan as a student. Once issued (usually within 1–2 months), the original COE is sent to Nepal, where the applicant then applies for a visa.

When submitting a student visa application, Nepali students must provide: a valid passport (with at least six months validity), a completed visa application form, a passport-sized photo (4.5 × 3.5 cm, white background), the original COE and photocopy, an admission letter from the Japanese institution, academic transcripts and certificates, and proof of financial resources showing sufficient funds to cover tuition and living costs for at least one year (e.g., bank statement, sponsor letter, or scholarship certificate). Additional documents such as language proficiency certificates (JLPT or IELTS), medical report, police clearance, or a statement of purpose may also be required depending on the applicant’s situation.

After submission, the Embassy of Japan or VFS Japan typically processes the application within 5–7 working days. The visa fee is around ¥3,000 for single entry and ¥6,000 for multiple entry, payable in Nepali rupees at the time of application. Once approved, students receive their visa sticker and can travel to Japan. Upon arrival, they are issued a Residence Card (Zairyu Card) at the airport if their stay exceeds three months, which must be carried at all times during their stay. This card is essential for opening bank accounts, renting apartments, and working part-time legally (up to 28 hours per week with permission).

Financial preparation is crucial — students are expected to show a balance equivalent to at least JPY 1.5 to 2 million (approx. NPR 13–18 lakh) in their or their sponsor’s account to cover initial expenses. Part-time work is allowed after obtaining permission from immigration authorities, but it should not interfere with academic commitments.
